When handling complex Excel workbooks in a business, we often need to update keywords in tables — for example, when brand content requires changing product names in Xls or Xlsx files, or when updating terminology in old file content. Replacing just the text or numbers is not obvious; we need to confirm each modified location to ensure accuracy. If there are hundreds or thousands of cells, manually highlighting these changed keywords after replacement is very time-consuming. So is there a way to batch replace keywords that need to be changed in Excel cells while also highlighting which text has been replaced?
This article addresses this issue by introducing a practical technique that allows you to batch update Excel content while adding conspicuous markers to the modified keywords, facilitating subsequent verification and review. This helps us maintain data accuracy and significantly improves review efficiency.
When to Highlight After Batch Replacing Text in Excel?
Visual Marking
When enterprises or institutions conduct data proofreading, staff batch replace incorrect content or outdated terms. To allow reviewers to quickly confirm the modification locations, highlighting the replaced cells visually displays the revision traces, preventing omissions and increasing the efficiency of repeated checks.
Text Change Tracking
When companies handle Excel spreadsheets from different regions or departments, naming conventions are often inconsistent. After batch replacement, if only the content is modified without clear marks, it is extremely easy to cause confusion within the team. Therefore, highlighting the modified cells enables reviewers to immediately see where changes have been made.
Post-Modification Document Review
Marketing and sales departments possess a large number of Excel files for customers, product specifications, or inventory. After updating and replacing content in these files, names and customer statuses change. Marking the altered cells with highlighting facilitates secondary verification by responsible personnel.
