The file name is modified when the file is used in different situations. When organizing files, if they need to be categorized by type or their names need to be updated, the file names must be modified. If only a few files need name changes, you can directly modify them at the file's storage location. However, when multiple files need name changes, modifying them one by one is very tedious and inefficient. The following explains how to batch replace the same keywords in the file names of multiple folders, supporting files in different formats such as docx, pptx, xlsx, txt, and pdf.
1. Use Cases
Search and modify keywords in a file name within a folder. If multiple files share the same keyword in their names, batch replacement is also possible.
For example: multiple files with the same keyword, such as 2024-Test files.docx, 2024-Test files.pdf, 2024-Test files.xlsx
You need to replace 2024 with 2025
After modification, they become 2025-Test files.docx, 2025-Test files.pdf, 2025-Test files.xlsx

3. Steps
Open【 HeSoft Doc Batch Tool 】, click【File Name】-【Find and Replace File Name】.

【Add Files】Add one or more files that need to have the same keyword replaced in their file names.
You can also drag files directly into the area below. Then click Next.

Import files from folder:
【Import All Files】Import all files within the folder (including subfolders) that need to have the same keyword replaced in their file names.
【Customize Import Depth】Choose the level of subfolders to open within the folder.
【Exclude Special Files】Check to automatically exclude files starting with ~ or $.
【Select Extensions from List】Select supported extensions from the list below.
【Manually Enter Extensions】Support entering various extensions below, such as jpg, word, excel, pdf, ppt, and other file formats.

After clicking OK, you can see that the files have been imported. Confirm the files to process and click Next.

Enter the keyword to be modified in the file name under 【Find Text】, then enter the modified content under 【Replace With】.

Save to:
【New Location】Click Browse below to save the modified files to a specified location.
【Delete and Overwrite Original Path】Directly overwrite and save the original files.
【Same Location as Original Path】Generate the modified files in the same location as the original files, without overwriting the original files.
Directory Structure:
【Flatten to New Location】Save all modified files directly to the new location.
【Preserve Original Directory Structure】Save the modified files using the original folder directory structure.
Processing Mode:
【System Default】Process files simultaneously using the system's default number of cores.
【Process One Record at a Time】Process files using a single core.
【Custom】Choose the number of cores to use for simultaneous processing.
Notification upon completion:
【Do Not Show Notification】Do not notify upon completion of file processing.
【Show Notification and Play Music】Show a completion popup in the bottom right corner and play music upon completion of file processing.
【Show Notification but Do Not Play Music】Show a completion popup in the bottom right corner but do not play music upon completion of file processing.

Wait for processing to complete, then click the saved folder to view the modified files.
