In the process of handling office documents, our computers accumulate a large number of files every day. In some special situations, we need to replace multiple keywords in many file names. Compared to manually checking and modifying, there is a high probability of missing files or making replacement errors. With batch replacement, you can simply input the keywords to find and the replacement keywords, and the computer can complete it instantly, ensuring consistency while improving efficiency and avoiding human errors, so you no longer have to worry about missed or incorrect changes. For example, when over 100 company file names are "2024-12-XXX-Draft" and we need to replace the year and month with the latest ones, as well as replace "Draft" with "Completed" as the final version, you only need to enter "2024, 12, Draft" in the find field and "2025, 05, Completed" in the replace field, and the file names will all be immediately changed to "2025-12-XXX-Completed". The replacement can be completed in 30 seconds, saving a significant amount of working time. This function flexibly handles various needs—whether it's a project name change, version update, or date modification—quickly locating the keywords in file names and renaming them for replacement, making management more standardized and work more efficient. So how should we uniformly replace file names for hundreds or thousands of files that contain multiple keywords that need to be changed?
1. Use Cases
When there are hundreds of project files and the leader suddenly asks to change the project name, all these file names need to be changed together. Or, if you want to reuse year-end summary reports or templates and only need to update the year in the file name to the latest date, we can directly perform batch find and replace. This avoids errors and repetitive tasks caused by manual replacement, saving time for more critical work.
