The PDF files that we use in our daily work may encounter systematic renaming according to the main idea of the contents. For example, contracts, reports or some data files contain key information such as project number, customer name and date. When we want to change the original file name to these digital numbers or dates, generally speaking, we can only open the files one by one in the simplest way, find out the required keywords, and then copy and paste to manually modify the file name. The process is not only tedious and consumes a lot of time, but also easy to accidentally input errors leading to mismatch between the file name and the content, which greatly affects the subsequent management and search of these PDF files.
So is there a way to automatically identify similar keywords in multiple PDFs and rename the corresponding file names in batches based on these keywords? This article introduces an efficient technique to use fuzzy search to accurately find the key information in the text, and to achieve automatic matching and renaming of file content and file names, so that our management of files becomes orderly and the efficiency of work is rapidly improved.
When to use PDF text key information as file name rename?
there are a large number of PDF files named in the way of file 1, file 2 and file 3. It is difficult to find the target file quickly without knowing what is in the file directly. However, PDF often has key contents, such as invoice number, contract number, customer name, order number, etc. Extracting these key contents as file names can make the purpose and category of the file visible at a glance, no need to reopen for confirmation.
Ensure files and numbers correspond
in finance, logistics, express document files and other scenarios, the numbers in PDF have clear business meanings, such as invoice number, waybill number, customer code, bar code number, etc. If these contents are manually entered into file names, artificial methods are very easy to make mistakes. Here, direct fuzzy search of key information in PDF and automatic renaming of files can ensure that the file names are completely consistent with the business numbers, and it saves the time and energy of manual labor.
Scan to extract information
most companies scan paper materials into PDF, such as contracts, forms, application forms, express orders, etc. These files are hundreds of thousands. If you open and view them one by one and then name them, it is very time-consuming. Using the key information in PDF to automatically rename, you can process a large number of files at one time and quickly improve efficiency.
